1. What is the process and why is it necessary?
The Alumni Office collects personal data to manage alumni relations, including communication about events, opportunities, volunteering, and networking. This ensures we can maintain an up-to-date alumni community, support engagement initiatives, and provide relevant information to alumni. We process your personal data based on legitimate interest, contractual obligations, or your explicit consent where required. Data may also be shared within the TUS community for legitimate purposes, such as promoting alumni-related activities.

Providing personal data to join the alumni CRM is voluntary. Alumni can choose whether to participate. The process is existing.

Data is collected directly from alumni via online forms, emails, event registrations, or interactions with the Alumni Office. Occasionally, information may also be collected during alumni surveys or interviews.

Your data will be used to:
Inform you about TUS alumni events, news, and opportunities
Facilitate networking and mentoring programmes
Conduct alumni surveys and gather feedback to improve alumni services
6. How do we store your data – who has access?
Your data will be stored securely in TUS’ CRM system and on TUS-approved cloud storage. Access is restricted to authorised Alumni Office staff.
Data will be stored until users requests to de-register. When you de-register your data will be held for 3 months before it is permanently deleted from our Alumni system. Your name and date and notification of deregistering may be kept for up to 1 calendar year.
7. Marketing
Your data may be used to contact you with information about alumni programmes, events, or opportunities related to TUS. You will not be contacted for third-party marketing without explicit consent.

If an individual believes that TUS Alumni has not complied with this policy or acted otherwise than in accordance with Data Protection Laws, please contact TUS Data Compliance Office immediately.

10. Consequences of not providing the personal data
If you do not provide personal data, you will not be able to participate fully in the alumni network, receive communications, or access alumni-specific programmes and events.
